How to Create HubSpot Booking Links Playbook

The process for creating a HubSpot Playbook that compiles all active and approved booking links for Sales, Marketing, and Client Success teams. This ensures a central location for easy access and consistency across teams.

Booking links in HubSpot streamline the scheduling process for meetings. By organizing and publishing them in a playbook, teams can ensure that only the approved links are being shared, maintaining consistency and professionalism across the organization.

  • Marketing Team: Ensure the appropriate marketing booking links are included in the playbook.
  • Sales Team: Include any sales-specific booking links for setters and closers.
  • Client Success Team: Ensure client success-related booking links are added.
  • Admin/HubSpot Specialist: Manage and publish the playbook, ensuring all links are correctly embedded and active.

Procedure

Step 1: Create the Playbook

1. Navigate to Library > Playbook in HubSpot.

2. Click Create Playbook.

3. Select Start from Scratch to build a new playbook.

4. Name the playbook (e.g., “Approved Booking Links”).

Step 2: Add a Description

  1. Add a description at the top of the playbook. Example:
    • Description: This playbook is used to find all active and approved booking links across Sales, Marketing, and Client Success.

Step 3: Add Primary Text Sections

1. Add a section with the primary text:
    • Example: Marketing Primary Booking Links:
    • Embed all relevant marketing booking links for scheduling meetings.

2. Add another section for setters with the primary text:
    • Example: Setters Primary Booking Links:
    • Embed the setters' booking links.

Step 4: Publish the Playbook

  1. Once all necessary booking links are added and reviewed, click Publish to make the playbook accessible to the team.

Step 5: Review the Playbook

  1. Go to Library > Playbook to view the published playbook.
  2. Click Preview to test the links and ensure they are working properly.


Step 6: Adding the playbook widget to your view

  1. Navigate to the object view you want to edit in settings
  2. Click into the view and then on the right hand side, click “Add Cards” and choose the playbook card


Notes

  • Regularly update the playbook as new booking links are created or approved.
  • Use clear labeling to differentiate between the different types of booking links (Sales, Marketing, Client Success).
